If you're selling a few dozen or even a few hundred items a month, outsourcing your barcode labels to a trade printer usually adds cost and lead time you don't need. A decent desktop setup, a roll of blank labels and a little patience will cover most small-scale product runs perfectly well. Whether you're labelling candles for a gift shop, bagging coffee for a market stall or shipping online orders, you can produce scannable barcodes at your kitchen table.
The trick is matching three things: the right barcode format, a printer that can hold the detail, and label stock that suits where the label will end up.
Most small businesses only need one of two formats.
Rather than hunting for a barcode font and hoping for the best, use software or a generator that outputs the complete barcode string. Barcode fonts need the correct start, stop and check characters, and a plain font won't calculate those for you. Get one digit or character wrong and the label will look convincing but fail at the till. For internal codes you can often print the value as human-readable text beneath the bars, which saves a lot of head-scratching later.
Almost any printer can produce a barcode, but the quality varies enormously.
Resolution matters more than brand. A 203dpi printer gives you about eight dots per millimetre; a 300dpi model roughly twelve. For small retail barcodes, 300dpi gives you far more room to keep bars clean and separated.
Barcodes need breathing space. The blank margin either side of the bars — the quiet zone — is part of the barcode, not wasted space. If you print right up to the label edge or let a design element creep in, scanners will struggle.
Never send a batch of labels to a retailer without testing them. A phone scanning app is a rough guide at best — borrow or buy a proper handheld scanner and check every new label design.
Scan each design ten times from different angles and distances before you commit to a full print run.
Once your setup works, keep it consistent. Store label rolls flat and away from damp, recalibrate the printer whenever you switch to a different label size, and print in batches rather than one label at a time. Keep a simple spreadsheet logging which barcode number belongs to which product, so you never accidentally reuse one. Do that, and you have a home labelling setup that will happily carry you from your first fifty units to your first few thousand — no specialist equipment required.
